Receptionist/Event Coordinator

Position Scope:

The Receptionist/Event Coordinator will create a positive image of Anika Therapeutics through communication and interaction with key stakeholders including employees, customers, partners, vendors, and visitors to the facility. This person is primarily responsible for the timely and professional handling of visitors and callers to Anika well as coordinating Wellness activities and events within the Company. This position will provide general administrative support for Human Resources, Finance and other departments as needed.

Strategic Focus Areas:

  • Participate in projects and activities which support the growth efforts of the Company
  • Maintain cost discipline within assigned programs per the budget

Specific Tactical Responsibilities:

  • Answer the main Anika phone number within set time parameters; follow protocols in screening and directing calls promptly
  • Greet visitors arriving in the main lobby; announce their arrival to the correct party and ensure they are met promptly following security protocols
  • Engage in and coordinate Wellness activities and other programs and events for the Company
  • Sort and distribute incoming mail; follow protocols for notification for specific types of documents
  • Assist in the preparation of outgoing mail and packages; arrange for drop off or pickup as requested
  • Responsible for maintaining neat and orderly presentation of the lobby and mailroom
  • Responsible to order and maintain kitchen and office supplies; provide vendor interface and perform annual cost analysis
  • Responsible for keeping the library and database current including the logging of new publications or materials and tracking of such items
  • Assist when needed with specific responsibility for several departments to include:
    1. Finance responsibilities:
      1. Accounts Payable invoicing
    2. Human Resources Responsibilities:
      1. Schedule interviews
      2. Wellness events planning and announcements, employee recognition material
      3. Preparation of Anika Forum presentations
  • Schedule and coordinate meetings as requested to include catering requirements
  • Provide administrative support to other departments as requested
  •  Responsible for other duties and projects as assigned

Job Complexity:

The Receptionist works on a variety of tasks which are routine in nature, and others which require independent action or teamwork and sound decision making skills. All tasks require the ability to maintain confidential information.

Required Qualifications:

  • Bachelor’s degree in the Business or related field or relevant equivalent experience
  • 1-2 years of experience within the private sector or open to recent college grad with applicable school/summer experience
  • Professional verbal and written communications skills
  • Demonstrated proficiency with Microsoft Office suite, specifically Word, Excel and PowerPoint

Desired Experience, Knowledge, and Skills:

  • Degree in the life sciences beneficial or discipline related to the core company business
  • Demonstrated experience with preparation of newsletters, blog content or graphic design
  • Prior experience in event/activity coordination
  • Ability to handle multiple shifting priorities
  • Ability to work autonomously, effectively manage time and deliver results on time
  • Excellent presentation skills
