Administrative Assistant

Reports to: CTSO

The Administrative Assistant is responsible for providing administrative support for several senior level executives. The position coordinates and completes time-sensitive and confidential work of both a routine nature and project basis.

Strategic Focus Areas

  • Design, implement and administer projects and activities which support the growth of the company.   Projects may either be an individual or team effort.
  • Research and analyze industry trends, competition, regulatory filings and approvals, and intellectual property as directed.
  • Optimize resources within assigned areas to maintain compliance standards and cost discipline.
  • Create a positive image of Anika Therapeutics through communication and interaction with key stakeholders.including employees, customers, partners, vendors, and appropriate government and regulatory authorities.

Specific Tactical Responsibilities

  • Provide general administrative support such as schedule and call management; routine paper flow; and travel and expense reports for assigned executives.
  • Administer projects by setting meeting agendas per project plan, measuring task progression and completion, and preparing reports.
  • Compose memos, documents, correspondence and presentations of a confidential nature for senior team as requested.
  • Prepare confidentiality agreements, contract agreements, and other standard business documents as required; maintain accurate files of all executed documents.
  • Provide break coverage daily for Receptionist; provide training for contract Receptionists covering for vacation.
  • Provide back up support to Executive Assistant.
  • Responsible for other duties and projects as assigned.

Qualifications

  • Bachelor’s Degree in Business Administration or the life sciences or equivalent experience.
  • Minimum 2 years of experience in an office environment, preferably a publicly traded company.
  • Professional personal and telephone presentation.
  • Ability to maintain confidential information.

Desired Experience, Knowledge, and Skills:

  • Excellent verbal, written and presentation communication skills.
  • Ability to conduct both primary and secondary research.
  • Ability to work autonomously, effectively manage time and deliver results on time.
  • Demonstrated proficiency with Microsoft Office Suite, specifically Word, Excel, PowerPoint and Outlook.
  • Proficiency with SaaS applications, such as Prezi, Survey Monkey, and Google Forms.
  • Proficiency with databases, such as Endnote and Access.
  • Proficiency with secondary research tools, such as NERAC, google scholar, google patents, USPTO, FDA website, PubMed etc.
